Talk to Vireo

How Vireo uses and protects your details.

Privacy information

This notice explains what happens to the information you provide through Vireo's website and how you can ask us to access, correct or delete it.

Online planners and service-request forms are currently unavailable. Email links open your own email app, and a message is sent only when you send it. The form and draft information below also explains how earlier website enquiries were handled.

Who is responsible

Vireo Energy Ltd is the controller responsible for your personal information. It is registered in England and Wales under company number 16630969, with registered office at 90 Albert Street, Wigan WN5 9EF. Privacy questions can be sent to info@vireoenergy.co.uk.

What we collect

The form records the answers you give about the property or system, plus your name, email, phone number and property address when you ask Vireo to review the route. Optional marketing choice is recorded separately. Contact details are never saved in the device-local draft.

Why we use it

We use enquiry information to respond, assess the requested work, prepare or discuss a proposal, prevent duplicate requests and keep an appropriate record of the conversation. Our lawful basis is taking steps at your request before a contract and, where necessary, Vireo's legitimate interest in operating a safe, reliable enquiry and customer-service process.

We use your details for occasional Vireo marketing only when you make the separate optional marketing choice. You can withdraw that choice at any time by emailing info@vireoenergy.co.uk.

Optional UK address finder

If address lookup is available, the property form sends the postcode or partial address you enter to getAddress.io so matching UK addresses can be displayed. Vireo's server keeps the service credential private and does not cache lookup responses. You can skip the finder and enter the address manually.

When you select an address, it is copied into the form for you to check. It is stored by Vireo only if you submit the enquiry, under the same purposes and retention periods described in this notice. To prevent automated misuse, the service also keeps a one-way, window-specific technical identifier and request count. Windows older than 24 hours are deleted during later address-lookup traffic. If lookup traffic stops, the rows from the preceding 24 hours can remain until lookup resumes; records do not contain the source IP address and cannot be reused to recognise a visitor in a later window.

Optional EPC lookup

If the EPC lookup is made available, the heat-pump journey can search the official England and Wales energy-certificate service using a postcode. The search can display matching addresses and certificate information supplied by the Ministry of Housing, Communities and Local Government. Vireo does not cache the search response. If you select a property, useful facts such as floor area, property type and EPC rating can be copied into answers that you can check and change.

Selected facts may be stored in the journey draft on your device and, only if you submit the form, included with your enquiry for Vireo's heat-pump feasibility and technical review. Address data is subject to the official Ordnance Survey and Royal Mail copyright and database-right notice.

Device-local journey drafts

To help you continue later, journey answers and a random submission reference can be stored in your browser for up to seven days. Names, contact details and full addresses are not included in that browser draft. You can remove the draft sooner by using “Start again” in the journey or clearing this site's browser data.

Who receives the information

Vireo staff and approved contractors see information only where they need it to respond or deliver the requested service. We also use suppliers that provide website hosting, secure data storage, email and business systems. They may process information only for the service they provide to Vireo and under appropriate contractual safeguards.

Website submissions are currently held for Vireo review. Automatic ServiceM8 transfer is disabled. If it is enabled later, the same enquiry and consent record may be transferred into Vireo's job-management system with duplicate prevention. We do not sell personal information.

How long we keep it

An enquiry that does not become customer work is normally kept for no more than 24 months after the last meaningful contact. If work is quoted, booked or completed, relevant records may be kept longer where needed for contracts, tax, insurance, certification, warranty, safety or legal claims. Marketing preferences are kept until you withdraw consent or Vireo's periodic review shows they are no longer needed.

Security and international processing

Vireo uses access controls, server-side credentials and duplicate-safe submission records. The browser does not connect directly to ServiceM8. Some technology suppliers may process information outside the UK; where this happens, Vireo requires an appropriate UK data-protection safeguard from the supplier.

Your choices and rights

Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction, transfer or an objection to how it is used. You can object to direct marketing at any time. Email info@vireoenergy.co.uk and include enough detail for Vireo to identify the relevant enquiry. We may need to confirm your identity.

If you are unhappy with how Vireo handles your information, please contact us first. You also have the right to complain to the Information Commissioner's Office.

Automated guidance

Website answers may produce indicative guidance, service routing or an early system range. They do not make a solely automated decision with legal or similarly significant effects. Vireo checks the technical detail before confirming scope, suitability or price.

Please do not include sensitive information.

If there is an immediate gas, fire or electrical danger, use the emergency guidance shown in the journey rather than this contact form.
